Terms and Conditions


The following booking conditions form the basis of your contract with Roof of the World Travel.

 

1. CONTRACT

By asking us to confirm your booking, we are entitled to assume that you have had the opportunity to read and have read these booking conditions and agree to them. All references in these booking conditions to “vacation”, “booking”, “reservation”, “contract”, “package”, “tour” or “arrangements” mean such travel arrangements unless otherwise stated. By booking a trip with us in writing, by telephone, online or in person, you are deemed to have agreed to these Booking Conditions.

We will confirm your trip reservation by issuing a receipt via email. This email will be sent to the person booking the reservation. Contact us immediately if any information which appears on the confirmation or any other document appears to be incorrect or incomplete as it may not be possible to make changes later. We regret we cannot accept any liability if we are not notified of any inaccuracies (for which we are responsible) in any document within ten days of our sending it out.

 

2. PAYMENT

To secure the booking, you are required to pay a non-refundable deposit of USD400 must be made and a confirmation issued by the Company before any binding contract exists. Once we receive your deposit we will invoice you for the remainder of the tour cost. This must be paid not less than 30 days before the tour starts (or by an alternative date agreed between you and the Company). If you book less than 30 days before departure, you must pay for the tour in full as soon as you book, unless you make alternative arrangements with the Company. If you do not pay your balance by the agreed time, the Company reserves the right to cancel your booking or pursue any unpaid monies.

 

3. CANCELLATION POLICY

Deposits are non-refundable. If you cancel your booking, we will impose cancellation charges as follows:

•        30 days or more prior to departure – loss of deposit

•        15-29 days before departure – 30% of tour cost

•        7-14 days before departure – 50% of tour cost

•        6 or fewer days before departure – 80% of tour cost

All cancellations must be in writing and be made by the person who submitted the booking form.

Once the tour has started, no refund for any unused portion or part of the tour or services to be provided will be given. If you want to make any changes to the tour, or depart the tour early, such alteration or departure will be entirely at your own expense and liability. You will also need to communicate in writing to the tour operator your reason for leaving the tour.

 

4. CANCELLATION BY US

We reserve the right to cancel the contract between us for any reason prior to your payment of the full price of the trip. We may cancel a trip at any time prior to departure if, due to terrorism, natural disasters, political instability or other force majeure circumstance. If we cancel your trip, you can transfer amounts paid to an alternate departure date or alternatively receive a full refund. In the unlikely event that such circumstances arise, we will contact you immediately and offer you the choice of equivalent services or a full refund of all monies paid. No additional compensation will be paid over and above the total sum received from you.

5. INSURANCE

The Company is not responsible for unforeseen circumstances such as flight or train delays or cancellations; the failure of embassies or consulates to issue visas; the inaccessibility of certain tourist attractions due to the actions of government bodies; the actions or services of accommodation and other facilities visited during the tour; or incidents such as injury, illness, or loss of personal belongings.

Therefore, travel insurance is mandatory for all Clients. At the time of booking, each Client must arrange his or her own insurance with a reputable insurer, with protection for the full duration of the tour, to cover personal injury, medical expenses, repatriation expenses, loss of luggage, and the expenses associated with cancellation or curtailment of a tour.

If you become ill, all hospital expenses, doctor fees, and repatriation costs are your responsibility and the Company shall not be liable for any refund of the tour cost. 

 

6. CHANGE OF ITINERARY

While we endeavor to operate all trips as described we reserve the right to change the trip itinerary. Please refer to our website before departure for the most recent updates to your itinerary.

Before departure: If we make a major change we will inform you as soon as reasonably possible if there is time before departure. The definition of a major change is deemed to be a change affecting at least one day in five of the itinerary. When a major change is made you may choose between accepting the change, obtaining a refund of money paid on the land portion of the trip only or accepting an alternative tour offered.

After departure: We reserve the right to change an itinerary after departure due to local circumstances or events outside of our control. In such emergency circumstances the additional cost of any necessary itinerary alterations will be covered by you. Please note we are not responsible for any incidental expenses that may be incurred as a result of the change of itinerary such as visas, vaccinations or non-refundable flights.

Termination or changes to the tour after departure are non-refundable.

 

7. MEDICAL CONDITION

If you have any medical or psychological conditions, it's very important you let us know well before departure so that we can make extra arrangements if necessary. Trip leaders have the right to disqualify anyone at any time during the trip if they feel the trip member is mentally or physically incapable to continue and/or if a trip member's continued participation jeopardizes the group's or his/her own safety. Under these circumstances refunds are not given.

 

8. SPECIAL REQUESTS

If you have any special request, you must advise us at the time of booking. Unless and until specifically confirmed, all special requests are subject to availability. 

 

IMPORTANT 

This is an adventure journey and many of our destinations are in remote areas where events are less predictable than is usually the case, such as the Pamirs. Surprise is the norm in these areas and despite painstaking planning and organization, our adventure tours can never be taken for granted like a vacation.

Many of the places we visit are remote, most of our hikes are self-sustaining and don't have direct access to the emergency medical and safety services we're used to in the developed world. Domestic flights may be cancelled, road transport may be uncomfortable.
